In this article we’ll cover some tips for using Microsoft Word. It
doesn’t matter if you’re using a Windows PC or a Mac, Word is very
similar.
The first step before starting to type a document is to set up the
formatting. Choose the font, the font size, set the margins, any tabs
that you anticipate and the spacing such as single or double spacing.
It is much easier to set up the overall formatting from the start and
then change particular elements later.
Sometimes Microsoft Word seems to take over with formatting. Maybe
you’re making a list and it starts to automatically indent and number
or bullet your items. This can be handy sometimes but not always, so
under the Format command choose AutoFormat. Next click on options and
select any items that you may not want at this time. Again, you may
want to set this up before starting your document.
Suppose you are making a form to print and want to add lines for
people to fill in. Place your cursor where the line will start, click
on the underline button on the tool bar, then tab until your line is
the right length. Click on the underline button again to turn it off
and continue typing the form.
The old rule was that when typing,
put two spaces after a period. The advent of word processing programs
and hard drive space has change this rule, in order to save space. A
letter and a space take up the same amount of storage space. So, if you
want your document to look modern and save hard drive space, only use
one space after a period.
Many people rely on the Spelling and
Grammar Checker to find all errors. This is not always wise. For
example if you have transposed letters that still make up a word such
as form, when you really wanted from, it may not be caught.
So, be sure to use the powerful tools of the word processor but always proof read again.
